We’re looking for a confident and proactive Virtual Assistant to directly support our CEO, someone who doesn’t wait for instructions, understands how to get things done, and thrives in a solutions-driven environment.
Key Responsibilities:
🔹 Executive & Project Support
- Manage the CEO’s calendar, emails, and day-to-day priorities.
- Assist with various projects – from research to follow-ups and execution.
- Maintain and update CRM systems (e.g., HubSpot, Pipedrive).
- Conduct deep-dive research on topics, problems, or opportunities and present clear, actionable insights.
- Anticipate challenges, provide status updates, and troubleshoot issues proactively.
🔹 Recruitment & Team Support
- Identify staffing needs across departments in collaboration with department leads.
- Draft, review, and refine job descriptions.
Coordinate the recruitment process end-to-end (posting jobs, shortlisting, scheduling, follow-ups). - Support hiring managers in decision-making with candidate insights and feedback.
- Help onboard new team members and ensure smooth integration into the team.
- Understand team dynamics and assist in keeping people aligned, productive, and focused.
🔹 Cross-Team Communication & Problem Solving
- Liaise with managers to understand their pain points and operational hurdles.
- Independently research and propose solutions – from tools to workflows.
- Follow up to ensure tasks are completed and goals are being met.
- Serve as the CEO’s eyes and ears within the organisation, ensuring alignment and accountability.
Qualifications:
- Minimum 3 years of experience working with international clients
- Strong communication skills – written, verbal, and interpersonal.
- Proven ability to be proactive, confident, and resourceful with a "figure-it-out" mindset.
- Experience in using CRM tools like HubSpot, Salesforce, or Pipedrive.
- Familiar with project management software such as ClickUp, Notion, Asana, or Trello.
- Skilled in calendar, email, and task management tools like Google Workspace, Slack, and Zoom.
- Experience with recruitment platforms (LinkedIn Recruiter, Indeed, etc.) and end-to-end hiring processes.
- Highly organised and able to manage multiple tasks and deadlines effectively.
- Understands team structures and dynamics – capable of getting results without formal authority.
- Prior experience supporting a CEO, founder, or senior executive is a plus.
